Certification Renewal Policy

SafeGradeAI certifications are issued for a fixed 12-month term and are subject to continuous monitoring throughout that term. This policy describes how renewals work and what is expected of certified vendors.

1. Term & expiration

Each certification is valid through the date displayed on its public verification page. Certifications that are not renewed before expiration enter a "Reassessment Pending" status; if not renewed within 30 days of expiration, the certification lapses and the badge must be removed from public materials.

2. Renewal window

Renewal reviews open 60 days before expiration. Vendors receive an automated notification and a structured renewal checklist that highlights any policy or product changes detected during the prior term's monitoring.

3. Methodology versioning

Renewals are evaluated against the methodology version current at the time of renewal. Material methodology changes are summarized in the renewal checklist so that vendors can anticipate adjustments. Tier outcomes may change between cycles as the methodology and the product evolve.

4. Evidence & cooperation

  • Vendor confirms or updates documentation supplied at the prior certification.
  • Vendor provides demonstration access for any new product surfaces or audiences.
  • Vendor responds to reviewer questions within 10 business days during renewal.

5. Lifecycle status

Renewal progresses through the public lifecycle: Reassessment Pending → Under Review → Evidence Validated → Certification Renewed. Status updates are reflected on the public verification page in real time.

6. Fees

Renewal fees are charged at the prevailing certification rate at the time of renewal. Renewal fees cover the full re-evaluation, continued monitoring, and another 12-month verification term.

7. Failure to renew or non-cooperation

Where renewal evidence is not provided, or material findings cannot be resolved within the renewal window, SafeGradeAI may downgrade the tier, decline renewal, or revoke certification. Revocation is reflected on the public verification page.

8. Material changes between cycles

Vendors must notify SafeGradeAI of material changes between cycles, including changes to data handling, moderation systems, audience targeting, or sub-processors. Material changes may trigger an out-of-cycle reassessment.

9. Withdrawal

Vendors may voluntarily withdraw from the certification program at any time. Upon withdrawal, the verification page is updated to reflect "Withdrawn" status and badge usage must cease within 30 days.
